Fix a Printer Showing Offline in Windows

An offline status can be caused by a disconnected printer, a paused queue, a changed network address, or a driver issue. Check the simplest causes first.

What to do

  1. Confirm that the printer is powered on, has no error light or paper jam, and is connected to the same network or computer as before.
  2. Open Windows Settings > Bluetooth & devices > Printers & scanners, select the printer, and open its queue. Clear only jobs you recognize and make sure printing is not paused.
  3. If it is a network printer, restart the printer and router only when others are not relying on the connection; then wait for the printer to reconnect.
  4. If the issue continues, remove and add the printer again using its official manufacturer driver or Windows setup.

Checks and limitations

  • Do not download drivers from third-party driver-update sites.
  • Removing a shared or workplace printer may require an administrator or IT support.
