How to Write Better AI Prompts for Everyday Work

A useful prompt states the task and the information the model needs. Add constraints and output format, then review the result instead of treating it as verified fact.

What to do

  1. State the role or task plainly, such as: 'Draft a polite follow-up email about the delivery delay.'
  2. Provide relevant context, audience, and source material. Remove passwords, personal data, and confidential details before sharing.
  3. Set constraints such as length, tone, language, items to include, or things to avoid.
  4. Specify the output shape, then ask the tool to flag assumptions or missing information. Verify facts, calculations, and citations independently.

Checks and limitations

  • AI output can be incomplete or incorrect even when it sounds confident; do not use it as the only check for legal, health, financial, or safety decisions.
  • Use only AI services and data handling practices approved for your information.
