How to Remove Duplicates in Excel Without Losing Data
Excel's Remove Duplicates command deletes matching rows from the selected range. Make a copy first and decide which columns define a duplicate.
What to do
- Duplicate the worksheet or save a backup copy of the workbook before changing the dataset.
- Select the full data range, including all columns that belong together. Choose Data > Remove Duplicates.
- Tick only the columns that define a duplicate record. If every selected column is compared, rows must match across all of them.
- Review Excel's summary and inspect the remaining records. Use conditional formatting or a helper column first if you want to review matches before deletion.
Checks and limitations
- Selecting only one column can remove rows while leaving unrelated columns out of sync if the whole table was not selected.
- Names that look the same can differ because of spaces, punctuation, or hidden characters.
