Excel COUNTIFS Formula: Count With Multiple Conditions

COUNTIFS counts rows only when each criteria pair matches. It is useful for counts by region, status, date, or other spreadsheet fields.

What to do

  1. Choose a criteria range and condition for each test you need to apply.
  2. Use the copyable example to count North-region orders marked Paid, then compare the result with the example rows.
  3. Use the same row alignment and dimensions for each criteria range.
  4. For OR logic, calculate separate counts and combine them carefully; COUNTIFS itself applies AND logic between criteria pairs.

Checks and limitations

  • Criteria ranges with different dimensions or shifted rows can make counts misleading.
  • Text matching in ordinary COUNTIFS criteria is not case-sensitive.

What COUNTIFS does

Count rows only when every specified condition matches, using a region and payment-status example.

Syntax

=COUNTIFS(criteria_range1, criteria1, [criteria_range2, criteria2], ...)

Copyable formula

=COUNTIFS(B2:B5,"North",D2:D5,"Paid")

Example result: 2.

Example data

ItemRegionSalesStatus
WidgetNorth120Paid
CableSouth80Paid
WidgetNorth200Pending
DeskNorth150Paid

Real-world use

Count paid orders in a selected sales region without filtering the source table.

Common mistakes

  • Using ranges that have different dimensions or start on different rows.
  • Expecting OR behavior; separate COUNTIFS results may need to be added for alternatives.

Alternative formulas

COUNTIF supports one condition. A PivotTable is useful for repeated counts across categories.

Compatibility

COUNTIFS is supported by modern Excel versions and Excel for the web; check compatibility before sharing with older spreadsheet software.

Frequently asked questions

Does COUNTIFS use AND or OR logic?

It uses AND logic across criteria pairs: all conditions must match a row.

How do I count either of two labels?

Add separate COUNTIFS results for each label, or use a suitable array formula supported by your Excel version.
